Coldri provides tools for legitimate cold outreach. This policy outlines what is and is not permitted on our platform, and how we handle abuse reports.

1. Our Commitment

Coldri is committed to maintaining a clean, reputable email ecosystem. We provide a cold email platform - campaign sending through the mailboxes you connect, optional warmup, and reply management - and we take seriously our responsibility to ensure this platform is not used for spam or abusive outreach. This Anti-Spam Policy applies to all users of the Coldri platform. Violation of this policy may result in immediate suspension or termination of your account without refund, and may be reported to relevant authorities where required by law.

2. Definition of Spam

For the purposes of this policy, "spam" means any unsolicited commercial electronic message sent in bulk to recipients who have not given explicit permission to receive such communications. This includes but is not limited to: - Unsolicited bulk email (UBE) - Email sent to purchased, rented, or scraped mailing lists without proper consent - Messages containing deceptive subject lines or misleading sender information - Emails that do not include a functioning opt-out or unsubscribe mechanism - Messages sent in violation of the CAN-SPAM Act (US), CASL (Canada), GDPR (EU/UK), or any other applicable anti-spam legislation

3. Permitted Use

The Coldri platform may only be used for legitimate B2B cold outreach where: - You have a reasonable basis to believe the recipient may be interested in your offer based on their publicly available professional information (e.g., job title, company, industry) - Each message is personalized and relevant to the individual recipient - You clearly identify yourself and your company in every message - You include a simple, functional way for recipients to opt out of further contact - You honor opt-out requests promptly (within 10 business days, as required by CAN-SPAM) - Your sending volume is consistent with normal business communication patterns Cold email - reaching out to prospective business contacts who match your ideal customer profile - is a legal and legitimate practice when conducted responsibly. Spam is not.

4. Prohibited Sending Practices

The following practices are strictly prohibited on the Coldri platform: List Quality - Sending to purchased, rented, or harvested email lists - Sending to email addresses obtained through scraping without consent - Using lists that have not been validated or cleaned within a reasonable time period - Ignoring or re-adding recipients who have previously unsubscribed Message Content - Using deceptive, misleading, or false subject lines - Impersonating another person, company, brand, or domain - Including malicious links, attachments, or executable files - Making false claims or fraudulent offers - Sending adult content, illegal products, or services Technical Abuse - Sending volumes that exceed inbox warming parameters or platform limits - Using connected mailboxes to relay messages on behalf of other senders (open relay) - Spoofing sender addresses or manipulating email headers - Attempting to bypass spam filters through encoding tricks or evasion techniques - Cycling through domains or mailboxes to evade blocks (domain churning) Regulatory Violations - Sending to EU residents without a lawful basis under GDPR Article 6 - Sending commercial email to Canadian recipients without express or implied consent under CASL - Any other sending practice that violates applicable law in the recipient's jurisdiction

5. Compliance with Applicable Law

You are solely responsible for ensuring your use of Coldri complies with all applicable laws and regulations, including: CAN-SPAM Act (United States) All commercial email sent via Coldri must comply with the CAN-SPAM Act, including: accurate header information, non-deceptive subject lines, identification as an advertisement where required, a valid physical postal address, a clear opt-out mechanism, and prompt honoring of opt-out requests. CASL (Canada) If you are sending to recipients in Canada, you must have express or implied consent as defined under the Canadian Anti-Spam Legislation. Implied consent applies only in specific circumstances (existing business relationships, etc.) and is time-limited. GDPR and UK GDPR (European Union / United Kingdom) If you are processing personal data of EU or UK residents, you must have a valid lawful basis under GDPR. B2B cold email to business addresses may rely on "legitimate interests" as a lawful basis, but you must conduct a Legitimate Interests Assessment (LIA) and offer a clear opt-out in every message. Other Jurisdictions Many countries have their own anti-spam laws (Australia's Spam Act, CASL equivalents in various countries, etc.). You are responsible for understanding and complying with the laws of all jurisdictions in which your recipients are located.

6. Monitoring and Enforcement

Coldri monitors platform usage for signs of spam or abuse, including but not limited to: - Bounce rates exceeding 5% (hard bounces) - Spam complaint rates exceeding 0.1% as reported by inbox providers - Sending patterns inconsistent with legitimate business outreach - Domain or inbox configurations designed to evade spam filters - Reports from recipients or third parties If we detect potential abuse, we may: - Throttle or limit sending capacity on affected inboxes - Suspend inboxes or domains pending investigation - Request documentation demonstrating the legitimacy of your outreach - Permanently terminate your account if violations are confirmed We will make reasonable efforts to notify you of enforcement actions unless doing so would interfere with an ongoing investigation or is prohibited by law.

7. Complaint Handling

Recipients who believe they have received spam sent via Coldri can report it to info@coldri.com. All reports are reviewed by our trust and safety team. When we receive a credible complaint: 1. We investigate the sending account and review message samples 2. We contact the account holder for their response 3. We take appropriate action based on our findings (warning, suspension, or termination) 4. We notify the complainant of the outcome where appropriate We take all abuse reports seriously. False abuse reports submitted to harass legitimate senders are also a violation of our Terms of Service.

8. Best Practices We Recommend

To help you send responsibly and protect your sender reputation, we recommend: List Management - Only reach out to prospects who match your ideal customer profile based on publicly available professional information - Validate and clean your contact lists before sending (remove invalid, bounced, or opt-out addresses) - Maintain a suppression list of opt-outs and never contact them again Message Quality - Personalize each message - avoid blasting identical copy to thousands of recipients - Keep sending volumes reasonable (typically 30-50 emails per inbox per day during warmup, scaling gradually) - Write clear, honest subject lines that accurately reflect your message - Include your full name, company, and a way for recipients to reach you Technical Health - Monitor bounce rates and spam complaint rates regularly - Consider Coldri's optional warmup to ramp up new mailboxes gradually - Rotate sending across multiple inboxes rather than overloading a single address - Pause campaigns immediately if you see a spike in negative signals

9. Consequences of Violations

Violations of this Anti-Spam Policy may result in: - Immediate suspension of sending capabilities on affected inboxes - Permanent termination of your Coldri account without refund - Reporting of your information to relevant law enforcement authorities, ISPs, or email blocklist administrators - Civil or criminal liability under applicable anti-spam laws (Coldri is not liable for penalties you incur) Repeated or egregious violations will result in permanent bans from the Coldri platform.

10. Updates to This Policy

We may update this Anti-Spam Policy as email regulations evolve and as we refine our platform policies. Material changes will be communicated to account holders via email with at least 14 days' notice.
